Submissions

Smart ESR gives you all the flexibility you need to handle the submissions you need for your event!

Per event, you can define:

  • Submission types (e.g. papers, panels), acceptable file formats, instructions for that type, and more.
  • Stages that a submissions moves through (e.g. abstract, full paper), ending with it being ready for the event program. Different submission types can move through different stages.
  • Review grades (e.g. Accept, Reject unless Revised, Reject) chosen by reviewers and used to resolve submissions, which define how a submission moves through its stages.
  • Author/contributor roles (e.g. Primary Author, Coauthor, Moderator, Panelist), optional min/max requirements, and which fields to collect or require.
  • Submission steps (e.g. title, keywords, authors, track/session) to collect information about each submission. Create steps to collect custom information specific to your event. Different submission types can include different steps.

Tracks and Sessions

Tracks and sessions are category-level groupings to which submissions are assigned and organize your event’s program by topic. The terms “track” and “session” are also customizable.

Per event, you can define:

  • Tracks and/or sessions, depending on your event’s needs.
  • Session types (e.g. Paper, Panel, Training, Workshop).
  • Positions for session officials (e.g. Chair, Moderator, Panelist), optional min/max requirements, and which fields to collect or require.
  • Which submission types can be submitted to which sessions.

Review Groups

Review groups define a collection of the reviewers who will be reviewing and grading submissions. After reviews are completed, review group chairs have the task of “resolving” each submission and assigned its final grade for its stage.

Per event, you can define:

  • Review groups that are assigned to tracks and/or sessions.
  • Reviewers assigned to each group, including chairs that have special privileges to manage reviewers, resolve submissions, and manage the group’s tracks/sessions.
  • Optional scoring and guides to use per group.
  • Optional assignment of specific submissions to specific reviewers.

Program

Features include:

  • Define time periods, event rooms, and availability of rooms per time period.
  • Finalize sessions by defining expected attendance, preferred times, session officials, and more.
  • Build and manage the program using a drag-and-drop grid interface, assigning sessions by period and room. The interface also provides graphical feedback on space and time availability as sessions are assigned.
  • Export the entire program in JSON format, or use the API to query from a third-party service.
